The compensation for Team Representative is:

$150 towards your daughter's dues  (for teams with 2 coaches)  

$250 towards your daughter's dues (for teams with only 1 coach, as scorekeeping help is needed at tournaments)  

There will be no cash payments.  If your daughter's dues are less than your compensation, dues will be paid in full, with no remaining credit.


There will be 1 Parent Rep (minimum) per team. (this responsibility can be shared; splitting the dues credit) The Rep for each team will be decided within the team.  If you are interested in being a Team Rep., you will need to let the others within your team know of your interest, and decide amungst yourselves who will take responsibility.  Once decided, your team will need to notify the Board with the name and contact information of your team's Representative.

Parent Rep Roles & Responsibilities

 

Access Requirements:

1)     You will need to have access to the following:

-         a computer

-         Excel

-         Word

-         Internet access

 

After Kick-Off responsibilities for the NEW Parent Rep:

1)     Organize a meeting with your team/coaches prior to the online tournament registration date to determine dates available for tournaments.

2)     Match available dates with the Tournaments available for your age level.  Tournaments are posted on the Iowa Region website:  www.iavbreg.org

3)     Attend an orientation (for all Parent Reps) meeting/training on how to enter tournaments. This will be held after the Kick-Off and before the Tournament registration date of Dec. 5th.

4)     Register with the Iowa Volleyball Region as a Parent Rep (this will be covered in the Parent Rep meeting/training.)

5)     MUST Attend the tournament registration meeting on Dec. 5th, to enter your team in your desired tournaments.  Registration opens at 8 a.m.  If you can not attend, make sure someone can register your tournaments for your team. 

6)     Sign your team up for tournaments on Dec. 5th registration meeting.

7)     Attend Scorekeepers & Referee Training and get certification. (This will be a 3 hour training held for all players, Parent Reps, Coaches & Board Members at school during the month of Dec.)

8)     Assist in ordering uniforms for team by taking measurements and orders.  Fill out form and provide to Board Member responsible for Uniforms.  Collect payment for orders and provide to the Board Treasurer.

9)     Collect clothing order forms and provide a master order and total of checks to the Clothing Organizer. Distribute orders to your team when they arrive.

 

 

Duties During the Season:

1)     Keep track of all tournament acceptances/denials received.  Communicate these to your Coaches, Team, and the Board.

2)     When denied a tournament, you will need to find another tournament you wish to bid and try to enter through the website. Inform the Treasurer if a tournament is denied/cancelled.

3)     When accepted to a tournament you must respond to the Tournament Director that the team received the acceptance.  Inform the Coaches, Team and Board of your acceptance.

4)     Prior to a tournament you MUST send the tournament Director an UPDATED Official Team Roster, obtained from the Board President

5)     Ensure you have a tournament schedule from the Tournament Director at least 2 days prior to the tournament and provide it to your Coaches and Team. Also make sure to communicate all tournament rules regarding food, etc. to the Team/Coaches.

6)     Advise Team when practice/tournament is postponed or cancelled.  You will be contacted by the Board when a practice is cancelled.  You will be the first one called when a tournament you’re registered for is cancelled.  You will be responsible for setting up a calling tree within your team, or contacting each Coach/Member of Team to inform them of the cancellation.

7)     When the practice schedule is received from the Board President, you will need to create a separate schedule for just your team and communicate it to your Team/Coaches.  ANY CHANGES TO THE SCHEDULE MUST BE OK’d BY THE  BOARD PRESIDENT.

8)     You MUST ATTEND ALL BOARD MEETINGS or have someone appointed to attend in your place.  This is required November - November, not just through the season. 

9)     Bring parent issues to the Board for Board Meeting discussion.

10)  Act as the go between from Coaches to Parents to Board.

11)  Monitor and report to the Board any Code of Conduct issues by Coaches, Parents, Team Members at practices and/or tournaments.

12)  Organize helpers to assist you in having food for the girls for tournaments that allow you to bring food in. 

13)  Assist with scheduling of pictures and communicate with the Board.

14)  Assist Board with scheduling & communicating the End of Year Celebration details.

 

Additional Responsibilities for Reps with JUST ONE COACH:

1)     MUST assist Coach at EVERY tournament as the 2nd adult.  This means you will normally have to monitor and supervise the Scorer’s table for every match.  Additional compensation will be provided to these Parent Reps as it requires additional commitment.

 

Responsibilities IF your team goes to Regionals:

1)     Locate and reserve a block of hotel rooms for entire team

2)     Fill out forms for Regionals and collect money from your team

3)     Arrange to pay for Coaches rooms via the Board Treasurer

4)     Once notified from by the Regional Office, you will need to provide all information to the team and follow up with any correspondence or requests from the Regional Office.

 

**This role is November of your election through November of the next season.  Responsibilities do not end with the season – they end with the Kick-Off of the next season.  Your attendance at the Board Meetings beyond the season are a MUST.

 

Kick-Off Responsibilities for the following season:

The previous year’s Parent Rep will assist with the kick-off of the following season.

1)     Assist with gathering player forms and ensuring all forms are turned in and accurately filled out

2)     Gather your age group and help them pick a current year’s Parent Rep

3)     Instruct the new Parent Rep of their responsibilities
